Practice software comparison
Microsoft 365 vs CliniBase: build on your office suite
Keep Microsoft 365 for email, documents, meetings and collaboration. SharePoint, Teams and Planner may also cover your operational workflow. Assess CliniBase when you want reviewed practice guidance, linked learning and assigned work together, alongside a supported practice system.

| Your need | Microsoft 365 | CliniBase |
|---|---|---|
| Everyday office work | Outlook, Office documents, Teams and cloud files, depending on licence.1 | Practice work, knowledge and learning. Does not replace email or Office.2 |
| Reviewed instructions | SharePoint libraries can use version history, content approval and draft visibility controls.3 | Reviewed approved versions; a different authorised person approves publication. |
| Tasks and handovers | Planner and Teams can support your chosen team process. | Owned tasks, reminders and handovers in the operational workspace. |
| AI help | Copilot capabilities and access to work context depend on licensing and setup. | Ask Clini uses permitted practice context; supported actions need confirmation. |
| Connected practice data | Check your actual apps and configured flows; no CliniBase sync is claimed. | Read-only Cliniko/Nookal. No supported Microsoft 365 connector; external API access is disabled.4 |
Configuration is the real comparison
Our assessment: a well-maintained Microsoft 365 setup may be sufficient. Before adding software, ask your administrator to show the approved document view, review ownership and the task board staff actually use. SharePoint can provide substantive document controls; it is not just a shared folder.
The decision is whether your practice wants to maintain those connections across its existing tools or use CliniBase's focused guidance-to-learning workflow. Compare the administrator's effort, staff habits and ongoing review process, alongside the subscription. Do not assume either route is cheaper.
Walk through one handbook update
Keep the successful parts of Microsoft 365. An extra practice tool earns its place only if it fixes a recurring handover or learning gap that your team can describe.
- Use a fictional reception handbook change and identify the approved version staff see.
- Show who can edit, approve and read the draft before publication.
- Show how the changed instruction reaches the right starter's learning and assigned task.
- Check which licence and administrator settings the complete process requires.
Practical questions
Can SharePoint manage clinic policies and approvals?
Yes, with configured library versioning, approval and permissions. Test the exact setup staff use rather than assuming these controls are absent.
Will Copilot read CliniBase automatically?
No supported Microsoft 365 or Copilot connection is currently available. CliniBase's public developer API is a preview with external admission disabled.
