An approved file still needs a team process

Drive can provide more than storage: eligible accounts can request document approvals and control how edits affect them. Check your edition and the actual approval settings before assuming a new tool is necessary.3

Our assessment: adding CliniBase makes sense only when a gap remains after the file is reviewed. A current instruction is useful; staff must also know where it lives, who needs to learn the change and who owns the next task. Your team may already connect those steps reliably in Google Workspace.

Test the path from a shared file to a starter's task

If this works, keep it. If it requires repeated manual coordination, compare that effort with CliniBase's reviewed guidance and version-linked learning. Do not duplicate the authoritative instruction in two places without a maintenance owner.

  • Use a fictional opening procedure in your usual shared drive.
  • Show the reviewed version, its owner and what happens when an editor changes it.
  • Assign the related learning and opening task through your existing process.
  • Ask the starter to complete it without a manager sending extra links or reminders.

Practical questions

Can Google Drive handle document approvals?

Yes, on eligible Workspace editions. Review the file-locking and approval-reset settings as well as the licence. A personal Gmail account is not the same setup.

Does CliniBase connect directly to Google Drive or Gemini?

No current supported connector is claimed. Public developer documentation describes a gated API preview; it does not enable external practice access.
